Conference/ Meeting Planning Services
Big or small, local or national, in-person or virtual we can help with any or all of your conference or meeting needs to ensure success for your participants and you! Our creative and experienced team can help your organization plan your event from theme to thank you, or any combination of the following conference/meeting planning services:
Program Design and Planning:
Based on 40+ years of experience, we have developed a streamlined and successful process for event planning and management. We know what works, what to ask, and what to do when a hiccup happens. Services include:
- Conduct a thorough discovery and needs assessment
- Create and manage a comprehensive project plan and budget
- Identify theme and research availability and cost of keynote/plenary speakers
- Program/agenda development or enhancement
- Identify topics and facilitate the open call and/or selection process of presenters
- Facilitate planning and debrief meetings
- Develop an evaluation tools and process
Event Management:
Want to participate in your event instead of manage it? We will handle all of the logistics before, during and after the event!
This includes working with the venue staff to layout and prepare the site, determining and placing food and beverage orders, coordinating audio/visual requirements, and ensuring proper flow of the event. Additionally, we will be on site to handle participant needs, troubleshoot issues and ensure your event goes as planned. Services include:
- Research availability and cost of potential in-person or virtual venues
- Handle all facility/virtual platform, A/V and speaker/presenter arrangements
- Manage speaker/presenter information and logistics
- Organize special events and tours
- Obtain accreditation if appropriate
- Coordinate and train volunteers
- Provide onsite or virtual venue, speaker and volunteer management
Marketing:
Through list generation, online email campaigns and targeted social media posts, we will present your event information to potential attendees. Services include:
- Develop brand guidelines and marketing plan including identifying target audiences and marketing channels
- Create and disseminate promotional materials
- Develop and implement electronic marketing and social media promotions
- Advertise events as needed
- Develop media plans, distribute press releases and handle media relations
- Reach out to prospective attendees, exhibitors and sponsors
- Oversee conference website and event app services
- Create final program, signage and other day-of visual elements
Sponsor/Tradeshow Marketing & Management:
Through research, list generation, personal outreach efforts, and online email campaigns, we will present your event information to potential sponsors and exhibitors, creating value-added information and support for your conference or expo. We know how to design an event that will attract and retain key companies and organizations as sponsors and exhibitors. Services include:
- Develop sponsor/exhibitor benefit packages and prospectus
- Determine target sponsors/exhibitors, financial and program participation goals
- Conduct thorough outreach campaign to prospective sponsors/exhibitors
- Assist sponsors/exhibitors to register and provide them with needed information
- Oversee fulfillment of sponsor benefits before, during and after event
- Design exhibitor floor layout; assign booths (in-person or virtual)
- Oversee exhibitor check-in and registration onsite as needed
- Oversee set up and tear down and be onsite to answer questions and troubleshoot needs
Registration Management & Attendee Engagement:
With hundreds of events under our belt over the past 40 years, we have perfected the art of attendee registration. Through our online registration system, your attendees, sponsors/exhibitors and speakers can register, pay and receive an immediate confirmation email and subsequent pre-event communications. Services include:
- Build, test and implement comprehensive online registration
- Create customizable attendee and financial reports
- Provide responsive, expert customer service to answer questions and concerns.
- Develop and implement attendee communication plan
- Prepare final registration list, name badges, meal tickets, etc.
- Prepare and assemble participant, exhibitor and sponsor materials and packets
- Manage onsite registration
- Produce post-event registration report and financial reconciliation

Administrative “Backbone” Support Services
Fusion Learning Partners Administrative Support Services Program is designed to provide administrative and organizational support to emerging or existing nonprofit organizations as well as collaborative initiatives that are aligned with Fusion’s mission and purpose. Our services, which include fiscal sponsorship, financial management, marketing and communications, and office support services, offer critical capacity-building support for organizations or initiatives that are working to make positive change in their communities.
Fiscal Sponsorship:
Fusion Learning Partners offers our legal and tax-exempt status to groups or initiatives engaged in activities related to our mission of inspiring innovation for the greater good. Using a fiscal sponsorship arrangement offers a way for your group or initiative to attract donors and accept donations/grants on your behalf even when it is not yet recognized as tax-exempt under Internal Revenue Code Section 501(c)(3). Fusion Learning Partners will serve as your administrative “home” for the duration of the initiative or until your group receives it’s own tax-exempt charitable status.
Financial Management:
Fusion Learning Partners can serve as a fiscal agent* for your organization, providing the following accounting and fiscal recording keeping services:
- Annual Budgeting
- Revenue and Expense Accounting
- Purchasing and Bill Payment
- Cash Flow Projections and Assistance
- Monthly Financial Statements and Reports
- Annual tax and legal filings
*Fusion tracks project income and expenses using a unique naming and coding strategy to account for financial activities separately from other Fusion programs or operations. Fusion accounts for all income and expenses on an accrual basis, meaning transactions are recorded when income is earned and when expenses are incurred and not when cash is increased or decreased.
Marketing & Communications:
Let our expert marketing and communications staff bring their experience and creativity to help your organization tell its story and build your audience. Services include:
